What to enter
Each row has space for the vendor, contract owner, fee and billing basis, term end, renewal date, notice period, confirmed notice deadline, auto-renewal status, and a source reference.
The suggested deadline subtracts calendar days from the renewal date. It stays blank when either input is missing. Enter your checked deadline in the separate confirmed column after reading the clause. Use that column to sort your work.
Why keep the source reference?
“60 days” is hard to verify on its own. “Northstar agreement, section 4, page 1” tells the next person where to look. Keep a link or file reference that your team can access.
The sample agreements include an annual subscription, an annually committed service paid monthly, and a one-time project. Their fees should not be added together and called annual recurring spend.
Before you rely on a calculated date
The formula assumes calendar days counted back from renewal. It does not handle business days, delivery rules, or amendments. Check whether the clause uses a different reference date, and record the verified deadline separately.
