What happens to your contracts
Before uploading an agreement, you should know where it goes, who can access it, and how to remove it.
Storage and processing
RenewalFolio runs on Cloudflare. Original files and converted text are stored in a private R2 bucket. Cloudflare Workers AI converts supported documents to text and extracts the proposed terms. Account information, extracted fields, and review records are stored in Cloudflare D1.
Document downloads require an authenticated account with access to that document. Files do not have public download links. Service administrators can access the underlying infrastructure for operations; this is not end-to-end encrypted storage.
AI data use
Cloudflare states that it does not use Workers AI customer content to train models or improve its services without explicit consent. We do not promise a particular processing region or zero provider retention.
Deleting a document
When you delete a contract, RenewalFolio removes the original file, converted text, extracted terms, and review history. A document being processed must finish before it can be deleted. If cleanup fails, scheduled maintenance retries it.
The beta also schedules documents for automatic removal 30 days after upload. Cleanup runs hourly. Spending, account, and approval records remain for operations. Provider backups may follow a different schedule. Export the records you need to keep.
Private calendar links
A subscription link grants access to confirmed vendor names and dates. Anyone who has the link can read those events, including the calendar provider you give it to. Fees and source clauses are excluded.
You can replace or revoke the link. That stops future access through the old link; copies already synced to a calendar may remain until the provider refreshes or you remove the subscription.
Account access and operational data
Email verification and manual approval are required before document processing is enabled. Application telemetry records page counts, performance, and error categories. It excludes contract contents, passwords, email addresses, and URL queries. Application telemetry expires after seven days.
