Your documents and this beta

RenewalFolio helps you find renewal terms. Every registration is reviewed before document processing is enabled. Upload only documents you are authorized to share with the service.

What we store

Your name, email, securely hashed password, and session information support your account. Your original contracts, converted text, extracted terms, and your corrections support your folio. We also keep usage and approval records to enforce limits and investigate failures.

Where processing happens

The beta runs on Cloudflare. Private R2 storage holds documents; Workers AI converts text and extracts terms. Documents are not publicly accessible. Service administrators can access infrastructure for operations; the service does not provide end-to-end encryption.

Cloudflare states that Workers AI inputs and outputs are not used to train models or improve services without explicit consent. Its own processing terms also apply. We do not promise a particular processing region or zero provider retention. Read Cloudflare’s data-use policy.

Deletion and retention

Deleting a contract removes its original file, converted text, extracted terms, and review history. A running extraction must finish first. Documents are also scheduled for automatic removal 30 days after upload. Cleanup runs hourly and retries temporary failures. Spending and account-approval records are retained for operations. Provider backups may expire on a different schedule.

Calendar subscriptions

Calendar subscriptions are optional. Anyone with your private subscription link, including the calendar provider you add it to, can read confirmed vendor names and dates. Fees and source clauses are excluded. Replace or revoke the link in your calendar settings to stop future access. Previously synced events may remain with your calendar provider until you remove the subscription. Updates and removals depend on that provider’s refresh schedule.

Operational telemetry

We collect page-view counts, browser error categories, page-performance measurements, request status and timings, and processing failures to operate the beta. Application telemetry excludes contract contents, form fields, email addresses, passwords, URL queries, and error messages. It uses no advertising cookies or persistent visitor IDs. Browser reporting respects Do Not Track. Telemetry is kept for 7 days and removed by hourly cleanup; aggregate usage and billing records are separate. Cloudflare also processes network metadata to deliver and protect the service.

What to expect

Text-based PDFs and DOCX files are supported, up to 10 files per selection and 10 MB each. PDFs are limited to 30 pages. A separate text limit can reject longer documents. Image-only scans, automatic OCR, and automatic business-day deadline calculation are not supported.

Extraction can miss or misinterpret clauses, especially images and amendments. Review the original before confirming dates. RenewalFolio does not provide legal advice, send notices, or replace your contract records. Export a copy of your confirmed calendar before the retention period ends.
